Thank you for getting in touch and for your enquiry about holding an event at The Patch. We would like to gain some further insight into your event in order for us to be able to proceed further with your enquiry.
At this stage, we wanted to provide some initial information around how third party events operate on our land, particularly in relation to health, safety and legal responsibilities, so expectations are clear from the outset.
Any event held at The Patch by an external business would need to be fully organised, managed and operated by you as the event organiser. We would be providing the land only. The event itself would remain entirely your responsibility, including planning, delivery, safety management and compliance with all relevant legislation.
As part of this, all events operate under our Event Hire Agreement, which the organiser would be required to review, agree to and sign in advance. We have attached a copy for you to review. This agreement confirms that the organiser is the duty holder and is responsible for fully risk assessing and managing the event.
Key requirements include (but are not limited to):
Holding your own Public Liability Insurance with a minimum cover of £10 million.
Providing a comprehensive Event Management Plan, detailing proposed use, timings, layout, access/egress, emergency arrangements and attendance numbers.
Provide their own first aid and security cover.
Supplying suitable and sufficient Risk Assessments and Method Statements (RAMS) for all activities and events.
Providing full safety and insurance documentation for any third party involvement, such as acts, performers, food or drink vendors, attractions, rides, or contractors. This includes food safety paperwork and individual public liability cover where applicable.
We would of course work collaboratively with you to ensure that your proposals align with our site requirements and responsibilities as the landowner. This would involve you proposing aspects of the event for our review and approval before committing to suppliers or activities (for example, if you were exploring rides or attractions, we would need full details and documentation for review).
